Agreement and Certificate of Insurance

We will send you the photography services agreement along with the certificate of insurance (if needed) for your review and signature.

Booking and Confirmation

Signing the agreement confirms your reservation and secures the event date.

A small deposit is typically required to reserve the date; however, we understand that some organizations prefer a simpler process. We can offer flexibility through a payment plan or full payment before the event.

Event and Delivery

We will coordinate all necessary details in advance, provide full coverage of the event, and deliver the images within the agreed timeframe.

How do you prepare for an Event like this

We schedule a coordination meeting before the Conference Day to review the itinerary, coverage expectations, priorities, interview opportunities, communication workflow, and operational details. This helps ensure alignment and a smooth production experience for both teams.

What makes your coverage different from standard event coverage?

Our approach goes beyond documenting activities. We focus on storytelling, authentic interactions, attendants experiences, and the emotional side of the event to create visual content that feels real, human, and valuable for future communication and marketing.

How does the AI Instant Gallery work?

Guests simply scan a QR code and take one selfie to register. As photos are uploaded during the event, the system automatically recognizes them and delivers only the images they appear in, making it quick and easy to access their professional photos.

Why do you recommend two photographers?

With approximately 200 guests attending throughout the day, two photographers ensure continuous coverage of the interview station while also capturing networking, lunch, candid interactions, and the overall atmosphere. This results in a more complete gallery and a better experience for both the organizers and attendees.

How quickly will we receive the final images?

All edited images will be delivered within 12 hours after the event. **For the Premium package, 25 highlight images will also be delivered before the event ends (By 4:30 pm) for immediate marketing and social media use.
