How does it work?

We take care of everything, from planning and coverage to editing and delivery, so you can fully focus on your event.

Proposal Review & Approval

Review the proposal and click "Accept" to move forward with the project. Once approved, we will begin the planning and coordination process.

Pre-Event Planning Meeting

Approximately two weeks before the event, we will schedule a planning meeting to review logistics, key stakeholders, event objectives, branding priorities, and deliverables to ensure expectations are aligned on both sides.

Agreement & Project Coordination

We will provide the service agreement, certificate of insurance (if required), and finalize the production schedule and event-day workflow.

Event Coverage, Post-Production & Delivery

Our team will provide professional photography and video coverage throughout both events. Following the event, we will complete all editing and post-production work, including image enhancement, video editing, audio optimization, and final formatting. Preview images will be delivered within 48 hours, followed by all final deliverables through a private online folder within the agreed timeline.

How do you ensure expectations are met?

We schedule a pre-event planning meeting to review logistics, event objectives, key stakeholders, production priorities, and deliverables to ensure alignment before coverage begins.

How will the files be delivered?

Final edited photographs and video deliverables will be delivered through a private Pixieset gallery for easy viewing, downloading, and sharing. Raw photo and video files, will be delivered separately via Google Drive or WeTransfer using secure temporary download links.

Are commercial usage rights included?

Yes. Final edited deliverables include commercial usage rights for marketing, communications, public relations, social media, and promotional purposes as outlined in the agreement.

Do you require any production space during the coverage?

Yes. We kindly request a very small designated space within the main activity locations to organize equipment, manage backups, and maintain the production workflow.

Access to a standard power outlet is appreciated.

Can you capture bilingual English and Spanish content?

Absolutely. Our bilingual team is experienced in covering English and Spanish-speaking audiences and producing content suitable for multicultural communications.
